The Role – HR Operations Coordinator
The HR Operations Coordinator ensures a smooth, structured and high-quality employee experience from arrival to departure across all Clair Group subsidiaries. This role combines hands-on operational ownership with cross-subsidiary coordination, covering onboarding and offboarding, equipment and uniform management, and office administrative support. You will act as the central point of contact for new joiners and collaborate closely with HR, IT, Finance, Compliance, and operational teams to ensure seamless employee lifecycle management.
This role will also involve regular travel between Malta and Paris to manage onboarding and offboarding missions for employees hired under the French entities.
Key Responsibilities
Employee Onboarding
Manage the full onboarding process for new hires across all subsidiaries.
Deliver in-person induction sessions, welcome meetings, and general training.
Serve as the primary point of contact for new employees during their first weeks.
Prepare and distribute all required equipment and materials, including laptops, iPads, phones, access badges, uniforms and office supplies.
Coordinate with IT (outsourced) for account creation, system access and software provisioning.
Employee Offboarding
Oversee offboarding workflows for resignations, terminations and contract completions.
Ensure account deactivation, system access removal, and retrieval of company equipment and uniforms.
Support exit interviews when required.
Maintain documentation for compliance and record-keeping purposes.
Equipment, Uniform & Inventory Management
Take full ownership of all uniforms, IT equipment, and office-related inventory across subsidiaries.
Manage storage, distribution, renewal, and replacement of:
Laptops, iPads, phones, and access badges
Uniforms
Office supplies and other work-related equipment
Maintain accurate inventory records and track stock levels to prevent shortages or delays.
Coordinate with IT, procurement and local teams to ensure operational readiness.
Cross-Subsidiary Process Coordination & HR Operations
Maintain, standardize and continuously improve onboarding and offboarding procedures across all subsidiaries.
Track operational KPIs (e.g., onboarding completion, equipment readiness, offboarding progress).
Identify areas for process improvement and contribute to HR digitalization initiatives.
Serve as a liaison between HR, IT, Finance, Compliance, and operational teams.
Support group-wide HR transformation projects and ensure operational consistency across subsidiaries.
Office & Administrative Support
Provide administrative support for HR and office operations as required.
Assist with uniform and equipment logistics, office supplies, and general coordination tasks.
Support the operational readiness of new employees and the overall office environment.
Job requirements
Technical & Operational Skills
Experience managing employee lifecycle processes (onboarding, offboarding, HR operations).
Knowledge of IT provisioning workflows (Microsoft 365, system access, asset tracking).
Strong organizational skills and ability to manage multiple priorities simultaneously.
Experience in international or multi-entity environments is a plus.
Soft Skills
Highly organized, proactive and detail-oriented.
Excellent communication and coordination skills.
Hands-on, practical approach while maintaining a process-driven mindset.
Comfortable working in a fast-paced, multicultural environment.
Languages
Fluent English – mandatory
French – strong advantage
Experience
3–5 years in HR operations, onboarding/offboarding, People Operations, or HR/IT coordination roles.
Experience in aviation, regulated industries, or multi-entity environments is an asset.
